Frequently Asked Questions for Parents regarding youth events and registration

Q: How does registration work with the new system?

A: We are excited about out partnership with the Ultracamp Registration: a safe, user-friendly and secure database provider. In order to allow you to manage all the members of your family and their personal information, including medical forms, permission forms for events and volunteer forms for adult volunteers, you will need to create an online account and complete the basic profile information. Your family profile information is stored, making it easy for you to update and change your information and making youth registrations much faster!

Q: How do payments work for registered events?

A: By logging into your family account, you will be able to pay for events as you register or simply select “pay by check, cash or fundraising” to post the balance to your account, allowing you to pay at a later time, or even set up an automatic payment plan Please contact us for more information or questions.

Q: My child can no longer attend the event he or she is registered for. What is the refund/cancellation policy?

We understand that life circumstances often make it necessary to change plans and cancel youth event registrations. All cancellations must be completed through the registration portal (select the registration under "Current Registrations” on your “My account” page and click “cancel this registration” in the lower left hand corner) OR submitted in writing via email to any of the youth ministry staff. This policy also applies to cancellations that may arise as a result of illness, injury or other unforeseen circumstances as our contracted expenses are also binding. Under most circumstances, we are unable to provide a refund on any deposits or payments for events as these payments are used to pay for contracted expenses such as food, transportation and facilities for various events.

Q: We cannot afford the full cost of an event. What types of financial aid are available for my child(ren)?

We never turn away a youth who cannot afford to pay! There are many options available to you and your family, including multiple fundraising opportunities for you and your child to take part in. Teens and parents who participate in fundraisers receive discounts in proportion to the time they serve. There are also various need-based scholarships available for those who participate in fundraisers but still need further assistance. Contact us for more information.
